Entra ID sync options

What each Microsoft Entra ID automation option does, how often CloudCard syncs, and how to sync on demand.

Once Microsoft Entra ID is connected, a handful of options control what CloudCard does with your directory. You can change them at any time.

Change the options

  1. Open the Microsoft Entra ID page. Either click Company Settings, choose Integrations and click Manage integration on the Microsoft Entra ID card, or go to Team Members, click Add Users and choose Microsoft Entra ID import.
  2. Click Connection setup.
  3. Tick or untick the options under Automation and Automation Options.
  4. Click Update.

You’ll see “Credentials updated”. The Automation list on the Microsoft Entra ID page shows each option as Enabled or Disabled.

What each option does

  • Automatic syncing (the checkbox under Automation): CloudCard syncs your selected groups every hour. On the overview page this appears as Hourly data transfer. Turn it off if you’d rather only sync when you click Sync now.

  • Automatically add new users from Active Directory: Creates an account and card for anyone in your selected groups who isn’t in CloudCard yet, and emails them an invitation. If this is off, syncing never creates new accounts.

  • Let Entra ID groups manage roles: Keeps everyone’s CloudCard roles in line with their groups on every sync, including removing a role when someone leaves a group. If it’s off, group roles only apply to people as they’re first created, and you change roles by hand afterwards. See Manage roles with Entra ID groups.

  • Automatically deactivate users that were removed from Active Directory: At the moment, CloudCard doesn’t deactivate anyone automatically, even with this ticked. When someone leaves, deactivate them in CloudCard yourself.

  • Overwrite users’ changes on their profiles and cards with data from Active Directory: On every sync, replaces people’s name, phone numbers, job title and email on their card with what’s in your directory, even if they changed them in CloudCard. If it’s off, CloudCard only fills in these details for new people and leaves existing cards alone.

  • Prefer single sign-on over passwords (Requires redirect URI setup on Microsoft.): Invitation emails tell people to sign in with Microsoft instead of setting a CloudCard password. Only turn this on once you’ve added the redirect URI in Azure. See Sign in with Microsoft.

Sync now

To pick up changes straight away instead of waiting for the hourly sync:

  1. On the Microsoft Entra ID page, click Sync now.
  2. In the window that opens, click Sync now again.
  3. Keep the page open until it finishes. It can take a minute.

You’ll see a summary of what changed. Under the buttons, the page always shows when the last sync ran and whether hourly syncing is on.

If you haven’t chosen any groups yet, the sync won’t find anyone. Choose them under Groups and roles first.

Delete the connection

On Connection setup, click Delete connection, then Delete. CloudCard stops syncing. Users and cards that were already created stay as they are.
