Add more cards to your plan

Increase or reduce the number of digital cards on your Pro or Premium subscription, and how each change is billed.

Each active team member uses one digital card on your subscription. When every card is in use, you need to add cards before you can add more users.

Before you start

  • You need to be an admin of the organisation.
  • To change cards yourself, your subscription must be paid by card through PayFast. If you pay by EFT, the page shows “For EFT billing changes, please contact support at [email protected] or +27 (0) 87 822 1153.”

Add cards

  1. In the left menu, click Subscription.
  2. On the Current Plan card, click the pencil icon to open Manage Subscription.
  3. Click Manage Digital Cards. It shows how many cards are in use, for example “4 of 5 in use”.
  4. On the Increase Cards tab, enter the new total in New Cards.
  5. Check the Upgrade Payment Summary. It shows the pro-rata subtotal and the Total including VAT for the days left in your current cycle.
  6. Click the payment button, which shows the amount, for example Confirm Payment (R…).

CloudCard charges your linked card straight away. You’ll see “Payment submitted. Your card increase is pending PayFast confirmation. No card changes have been applied yet.” When the payment is confirmed, you’ll see “Card increase payment confirmed” with a Manage Users button so you can add the new users.

If the pro-rata amount is under the PayFast minimum charge, the button reads Apply Card Increase. The cards apply immediately and the amount is added to your next bill.

Reduce cards

Card reductions never apply immediately. They start at your next billing cycle, so you keep the cards you’ve paid for until then.

  1. Open Manage Digital Cards as above and click the Reduce Cards tab.
  2. Enter the lower number in Cards Next Cycle. The Downgrade Schedule shows the effective date and your next recurring total.
  3. If you have more active users than the new card count, click Choose Users to Remove. Select exactly the number of users shown, and choose Deactivate user or Delete user for each one. Then click Confirm card downgrade.
  4. Otherwise, click Schedule for Next Billing Cycle.

You’ll see “Card downgrade scheduled for the next billing cycle.” The Manage Subscription window lists the change, for example “Digital Cards reducing to 3 on 1 November 2026.” The users you selected are deactivated or deleted on that date.

If the change doesn’t go through

  • “Card changes for the upcoming PayFast cycle are locked within the final 2 days before renewal.” Try again after your renewal date.
  • “Link a PayFast card before requesting automated card increases.” See Payment methods.
  • “Payment failed and no card changes were applied.” Check the card with your bank or update it, then try again.
