User roles: Admin, User and Email Signature
What each CloudCard role can do, and which one to give the people in your organisation.

Every person in your organisation has one or more roles. The role decides what they can see and change in CloudCard. You choose roles when you add a user, and you can change them later under Edit user.
Admin
Admins manage the organisation. An admin can:
- add, edit, reinvite, deactivate and delete users on Team Members
- change the company branding, card fields and lead settings in Company Settings
- connect integrations such as Microsoft Entra ID, HubSpot and Salesforce
- see all of the organisation’s leads, not just their own
- see the organisation’s analytics
- manage the plan and payments on the Subscription page
An admin doesn’t need a digital card. When you add an admin who only manages the account, untick Create business card and they won’t use a card on your plan.
User
A user is a cardholder. A user can:
- edit their own card, apart from fields an admin has locked
- share their card and see their own analytics
- see and manage the leads they capture
Most of your team should be users. Each user with a card uses one card on your plan.
Email Signature
An Email Signature user gets a branded email signature but no digital card. They can edit the details that appear in their signature and install it in their email app. Each one uses an Email Signature licence. See Add or cancel Email Signature licences.
Combining roles
You can give someone more than one role. For example, user and email signature gives a person both a digital card and an email signature, and uses one of each.
You can’t change your own role. Another admin can, or you can contact support.
